Email is a Campaign Action that can be dragged into the campaign workspace for use in any campaign flow. When campaign members reach this Action, they are emailed a specific email template from a chosen DemandCenter User according to rules set by the campaign creator.
An Email Action will not work until you configure the Action's Properties. In Properties, you will be able to specify the Default Option as well as additional Options that will determine how Email behaves for different qualified prospects.
With just a Default Option configured, whenever campaign members reach Email in the campaign flow, they will be emailed a specific default message from a chosen default DemandCenter User. After the email is sent, prospects will immediately be released from the Action to continue through the campaign flow.
To configure the Default Option:
- Drag Email into the campaign flow of your choice.
- Double-click to open the Action's Properties.
- Click on the text bar next to Send email to prospect to select the Email Template that will be emailed to the prospect.
- Next to From, select the DemandCenter User that will appear as the email's sender.
- Choose Prospect Owner if you would like the email to be sent on behalf of the DemandCenter User that owns the corresponding prospect.
- Choose User if you would like the email to be sent on behalf of one specific DemandCenter User. Click on the text bar next to User and select the appropriate DemandCenter User.
- (Requires CRM Integration) Choose CRM Owner if you would like the email sent on behalf of a prospect's CRM Owner.
NOTE - For any prospects whose CRM Owner field is BLANK or whose CRM Owner does not match an existing DemandCenter User's “CRM Username,” the system will automatically send the emails on behalf of the Default CRM Owner configured for the account. To find out which User is configured as your Default CRM Owner, please consult your account administrator.
- Choose Prospect Owner if you would like the email to be sent on behalf of the DemandCenter User that owns the corresponding prospect.
- When finished, click Apply to retain your configuration settings.
Along with the Default Option, you can also configure additional Options which can dictate how the Action will behave for different groups of prospects.
NOTE - When additional Options are used, the Default Option may be disabled by clicking on 'do the following' which will change to 'release the prospect from this action without sending an email'.
To configure an additional Option:
- Drag the Email Action into the campaign flow of your choice.
- Double-click to open the Action's Properties.
- Click on Add a Rule.
- Next to IF, click Add Condition to choose the criteria for the Action to match on.
- Click on the text bar next to Send email to prospect to select the Email Template that will be emailed to the prospect.
- Next to From, select the DemandCenter user that will appear as the email's sender.
- Choose Prospect Owner if you would like the email to be sent on behalf of the DemandCenter User that owns the corresponding prospect.
- Choose User if you would like the email to be sent on behalf of one specific DemandCenter User. Click on the text bar next to User and select the appropriate DemandCenter User.
- (Requires CRM Integration) Choose CRM Owner if you would like the email sent on behalf of a prospect's CRM Owner.
- Choose Prospect Owner if you would like the email to be sent on behalf of the DemandCenter User that owns the corresponding prospect.
- Repeat steps 3-6 to configure additional Options as needed.
- When finished, click Apply to retain your configuration settings.
With additional Options in place, campaign members that reach Email in the campaign flow will be evaluated by their prospect details (field data and activity history) against the criteria of the additional Options. Upon evaluation:
If a campaign member matches one or multiple Options within one Action, the rule for the first matching Option will be applied. The prospect will automatically be sent the corresponding Email Template and be immediately released from the Action to continue through the campaign flow. Any other matching Option rules will NOT be applied.
OR
If a campaign member does not match any Option while the Default Option is ENABLED, the prospect will automatically be applied to the Default Option and be immediately released from the Action to continue through the campaign flow.
OR
If a campaign member does not match any Option while the Default Option is DISABLED, the prospect will NOT be sent an email and will immediately be released from the Action to continue through the campaign flow.
