NOTE - To access or make changes to an existing Email Template, you must own the Template, or you must be a member of a User Group or Role that has access to the Template.
To edit an existing Email Template:
- Go to Assets > Explore Email Templates.
- In the left navigation, under Folder View, select the folder that contains your Email Template.
- In the main view, select the Email Template that you wish to edit and click the Edit Selected button at the top of the screen.
- Make changes to the Email Template, as desired, using the tools and actions in the What-You-See-Is-What-You-Get (WYSIWYG) HTML Editor
- Next to Subscription, ensure that a Subscription Category is selected for your Email Template.
- Next to Language, ensure that a Language is selected for your Email Template.
- In the Subject field, ensure that your message has a Subject line populated. When sent, this will appear as the subject of the outbound email.
- In the Message Body field, type the text of your message. The limit for this field is 4,000 characters.
(OPTIONAL) Click the HTML button in the WYSIWYG toolbar, to view your Email Template in HTML mode. This will allow you to add and modify HTML code in your Email Template. - Use the Prospect Tags drop-down menu to customize your message with Prospect Replacement Tags. These tags are populated for each individual email recipient, with the PROSPECT data from your DemandCenter database, creating a one-to-one relationship between the email sender and audience members
. - Use the Signature Tags drop-down menu to add Signature Replacement Tags to your message, to add a dynamically populated signature block to your message. These tags are populated for each individual email recipient, with the contact information of the USER that is the Sender of the outbound Email.
Note - A Message Template cannot be saved if it does not include the necessary Signature Replacement Tags required for Can-Spam compliance: First Name, Last Name, Company Name, Address, City, Zip, and Phone.
- Add eTrigue Trackable Links by selecting the text or images that you would like to link, and clicking theLink button in the WYSIWYG toolbar. All links will automatically be configured for eTrigue tracking.
Note - To disable automatic link tracking, check the box next to "Disable Cookies," at the bottom of the editor.
- Add images from the Content Manager, if desired.
- Check Send as Multi-Part Mime if you would like to configure a Plain Text version of your email to be used when the system encounters Plain Text email servers and clients.
If you have checked this box, you will be required to configure the Plain Text version of the email. To do so: - Click on the Plain Text Message tab to see the Plain Text Editor.
- Enter the text for the body of your Plain Text version. You may either:
- Manually type the text for your message in the provided editor.
OR - Click Copy Text from HTML -- all text from the HTML Message tab will be imported into the Plain Text Message tab. All HTML code will be removed from the text, including all images, formatting, and styles. Hyperlinks will be reduced to just their destination URL.
- Insert Prospect Replacement Tags and Signature Replacement Tags, as desired. A CAN-SPAM compliant signature block is required.
- Click Groups, if you would like to make your Email Template visible to specific User Groups.
- Next to Subscription, ensure that a Subscription Category is selected for your Email Template.
- To retain your changes, click either:
- Save: Overwrite the preexisting Email Template with your changes.
OR - Save As: Create a NEW Email Template that includes your changes.
- Save: Overwrite the preexisting Email Template with your changes.
- After saving your Email Template, you may use the the Send Proof tool to email yourself PROOF versions of the Email Template, in order to test the message in an email client environment.
