The list builder is a central component of the DemandCenter application. Its drag-and-drop interface can be used as a tool for searching, segmenting, and updating your prospect database. As you use the list builder, your goal will often be to save lists of interesting prospects. Though there are many potential uses for saved lists of prospects, they are primarily used to define the audience of a campaign.
To build a list:
- Go to Prospects > Prospect Search.
- On the left, you will find a directory of various search criteria that can be used to segment your database. To browse available search criteria, click on the > to expand and collapse criteria headings.
- Open a search by dragging a criteria from the directory and dropping it into the middle of the page or by typing the criteria field name within the text box provided. Double-clicking on a field name will also open a search.
- When a search criterion is open, a corresponding configurable search interface appears in the workspace under Total Prospects. Use the fields provided to define your desired search parameters. The configurable parameter options will vary from criterion to criterion but some common abilities include:
a. Negative searches: Use Does not or Is not. For example, to return all prospects that have a First Name that does not start with John, refer to the following example:
b. Searching for BLANK or NOT BLANK data: Use Contain any data as a search operator. For example, to find all prospects that contain a BLANK value for Company Name, refer to the following example:
c. Adding OR Statements within a single search criterion: Some searches provide a blue plus icon next to a provided field. This allows you to add OR statements to your search. For example, to return all prospects that have a First Name that starts with John OR Sally, refer to the following example:
Alternatively, you can use "commas" to separate each parameter:
In order to search for data values that contain commas, you may place the value that you are searching in double-quotes ( " ) . When this method is used, the search will return all prospects that match the entire literal value contained within the double-quotes; commas will not be treated as OR statements -- they will be treated as part of the data value that you're searching.
For example, if you would like to find all records with the value 25,999 in the Employees field, your search should look like this:
- After providing the search parameters for your selected criteria, click on OK. Your results will be displayed in the Results pane.
- Repeat steps 3-5 to add additional search criteria to your query. As you include additional criteria in your query, the latest search result will display as a subset of all other search criteria already listed in the results box (think "AND"). The final result number always indicates the number of prospects in the database that have met ALL of the criteria in your search. For example, the screenshot in Step 5 represents the following:
- There are 618,240 prospects in the database that are assigned to "Active" status.
- There are 52,748 prospects in the database that are assigned to "Active" status AND are from the state of California.
- There are 12,494 prospects in the database that are assigned to "Active" status AND are from the state of California AND contain the string "President" in their title. - Once your search is as you'd like it, you can view the corresponding prospects that comprise the result by clicking View Prospects.
- To save this List for later use, click Save.
- In the Save List dialog:
a. Under List Name, type in a name for your list.
b. Under Save in Folder, click on the folder icon to browse which folder you would like to save your list in.
c. Under List Type, choose a desired list type:
- Dynamic: A Dynamic list retains the exact search criteria that were in place when the list was saved. As new prospects are added to your database with attributes that match the search criteria of the dynamic list, these prospects will automatically be associated with the list. The new list members will also automatically be applied to any running campaigns or other features associated with the list. As a result of the dynamic nature of this list type, the total number of prospects in a Dynamic list may change over time as prospect data changes in the database.
- Static: A Static list will contain only the exact records that matched your criteria at the time the list was saved. Static lists cannot be updated in the future to include additional prospects - to do so, you will need to save a NEW Static list.
- Dynamic: A Dynamic list retains the exact search criteria that were in place when the list was saved. As new prospects are added to your database with attributes that match the search criteria of the dynamic list, these prospects will automatically be associated with the list. The new list members will also automatically be applied to any running campaigns or other features associated with the list. As a result of the dynamic nature of this list type, the total number of prospects in a Dynamic list may change over time as prospect data changes in the database.
