Introduction
Lead Exports provide a list of all leads identified during a specific timeframe. These exports include all field information and links to view the lead in more detail. In addition, each lead in the export will include a response link which allow users to submit lead responses.
Users can also schedule lead exports to be received on a recurring basis. When a user schedules an export, eTrigue will send the user an email notifying them that their export can be downloaded.
Scheduled exports can also be generated on-demand via the Leads page.
What data is included in a scheduled export?
By default, all scheduled exports will include standard fields and custom fields. In addition, for users that are scheduled "lead" exports, then the appropriate lead-related fields are included.
How to Customize What Fields Appear in an Export
If users would like to define a set of fields to be excluded by default, they can manage their excluded field list under Settings > Prospect Settings > Prospect Fields > Scheduled Exports.
Under Scheduled Exports Field Exclusion, add fields to be excluded from exports by double-clicking fields under the field list. Any field listed on this page will be not included in scheduled exports moving forward.
How to Schedule a Lead Export
- Go to Partners > Scheduled Exports.
- Click on the New Schedule button.
- Provide the following information for your scheduled export:
- Schedule Name: Provide a name for your scheduled export.
- Subject Line: Provide the text that will appear in the subject line of the email that will contain your scheduled export.
- (Optional) Notes: Provide descriptive text that will appear in the body of the email that will contain your scheduled report.
- Under Export Settings:
- Choose your Timeframe. Your scheduled export will only include leads that were identified during your selected timeframe from the date that you receive your export. For example, if you scheduled to receive an export at 9 AM on a Monday, then a timeframe of Last 7 Days would include a list of leads from that Monday to the past Monday.
- Choose your Export Type.
Leads -- This export will contain a list of unique leads identified during your timeframe.
Lead Alerts -- This export will contain list every single lead identified during your timeframe. If the same lead was identified multiple times, they will be listed multiple times.
Opted-out prospects -- This export will contain a list of leads that have opted-out during your timeframe.
- Choose your Timeframe. Your scheduled export will only include leads that were identified during your selected timeframe from the date that you receive your export. For example, if you scheduled to receive an export at 9 AM on a Monday, then a timeframe of Last 7 Days would include a list of leads from that Monday to the past Monday.
- Under Recipients, select the user(s) to whom you would like to send the Scheduled Export.
- Under Frequency, select the ongoing interval at which you would like this Scheduled Export to be processed and sent.
- Repeat Daily -- the report will be processed and sent every day.
- Repeat Weekly -- the report will be processed and sent every 7 days. Select the day(s) of the week on which you would like the weekly report to be processed and sent.
- Repeat Monthly -- the report will be processed and sent once a month. Select the date of the month on which you would like the weekly report to be processed and sent.
- Starts: Select the date on which you would like this scheduled export to become active.
- Ends: Select when you would like this Marketing Effectiveness Report Schedule to stop sending.
- Never -- the schedule will continue to run indefinitely.
- After Number of Occurrences -- the schedule will end after the specific number of repeats that you specify.
- On Specific Date -- the schedule will end on the exact date that you specify.
- Run Time: Select the time of day at which you would this Scheduled Marketing Effectiveness Report to be processed and sent on a recurring basis.
6. When finished, click Save.
How to Export Leads Manually
- Go to Partners > Leads.
- In the top right corner, choose the timeframe to determine the date range of which leads are identified.
- Click Export. Please allow the page a few moments to process your export request. Once the export is ready, your web browser will automatically prompt you to either open or save the export to your computer.
Lead Export Password Protection
Users can set a password on their lead export files. This adds an additional layer of security so that files cannot be open without knowing the password.
Advisory Note: To ease the management of passwords, the system will use a single/global password to encrypt all scheduled exports. Passwords are not issued on a per-file basis.
eTrigue will display previously used passwords and the dates when they were set. This might be useful when you can't remember how to open previously protected files.
How to Manage the Password for Scheduled Exports
- Go to Partners > Scheduled Exports.
- Click on the Settings tab.
- The following password settings are available:
Settings What it does... Do Not Password Protect Scheduled Exports Lead export files are not password protected.
Files can be open at any time.Password Protect Scheduled Exports All lead export files are protected with a password.
How to Turn On Password Protection of Scheduled Lead Exports
- To password protect your lead exports, toggle Password Protect Scheduled Exports.
- Enter a password when prompted.
- After saving, all scheduled lead exports moving forward will be password protected with your chosen password.
How to Update a Password
- Under Partners > Scheduled Exports, navigate to the Settings tab.
- Next to Current Scheduled Exports Password, click the pencil icon.
- Enter a new password when prompted.
- After saving, all scheduled lead exports moving forward will utilize your new password.
The previous password is no longer active for new exports and will only open files that were exported when your previous password was active.
How to Turn Off Password Protection
- Under Partners > Scheduled Exports, navigate to the Settings tab.
- Click on "Do Not Password Protect Scheduled Exports".
- After confirming, scheduled lead exports are no longer password protected.
